1. Your documents stay on your computer
All document processing happens on your computer, with AI models installed with the software. No model is downloaded while you work. Anonyma never sends your documents, the information it finds in them, their file names or any fingerprint of them to us or to anyone else. We cannot see your documents, because they never reach us.
2. What the software keeps on your computer only
- Exported copies, where you choose to save them. A restore key, if you create one, is password-encrypted.
- Work sessions (
AppData\Anonyma): the location of the file on your computer, the position of each box and each page's review state. Never the hidden text. You can delete them in Sessions. - A work-in-progress mark (
AppData\Anonyma\running.json): the process number and the open session's number, so you can be offered to resume your work after an unexpected closure. It is removed on a normal exit. - Test cases and remembered forms, only if you ask for them: box positions and, for forms, the ordinary printed words of the template. Never the hidden text.
- Your settings (
AppData\Anonyma\settings.json), including the date you accepted the automatic-detection notice, and your licence (AppData\Anonyma\license.json). - Downloaded updates, a cache of the text-reading models and, only after an abnormal exit, an error record (
LocalAppData\Anonyma). No document content. The record is not sent; you may choose to send it to us for support.
These files stay on your computer, under your control. Uninstalling offers to delete them.
3. What the publisher receives
- Licence: when you activate it, and at start-up afterwards (at least every 14 days), the software sends your licence key, an anonymous identifier of the computer (a one-way fingerprint of the Windows machine identifier) and the app version. For each licence we keep the plan, the paid-until date, the identifiers of the activated computers and the activation dates, and the holder's first name, last name and company (and an e-mail address if given). This lets us enforce the number of computers allowed and stop cancelled or unpaid licences. It contains no information taken from your documents.
- Updates: at start-up the software downloads a small signed notice. This request contains no licence, user or document information; like any web request, our hosting provider sees the computer's IP address and the app version.
- Purchase: if you buy a licence, we and our payment provider process the information needed for the sale (billing contact, licence status). Payment card details are handled by that provider and not stored by us.
- Support and website: only what you choose to send us. The website uses no third-party analytics. The software has no telemetry and sends no crash reports.
We do not sell personal information.
4. Service providers and communication outside Québec
The website, updates and licence server are hosted by Cloudflare, which may store or process this information outside Québec and Canada. The payment provider processes payment information. These providers act on our behalf, under contract. We share this information with no one else, unless the law requires it.
5. Retention
We keep licence information for the life of the licence, then as long as the law requires (for example tax rules), after which it is destroyed or anonymised.
6. Your rights
You may ask to access, correct or delete the information we hold about you, and withdraw your consent, by writing to the person in charge above. You may also file a complaint with the Commission d'accès à l'information du Québec (https://www.cai.gouv.qc.ca).
7. Security and changes
We protect the information we hold with reasonable measures. Any change to this policy is published with a new version date.
The software installs this same text and shows it before the agreement is accepted. The French version is presented first.
